Setting up a printer on your home network used to be a nightmare. It’s gotten a lot easier. This is the complete process — from plugging in to printing from your phone — for any modern wireless printer.
What You Need
- Your printer (powered on)
- Your Wi-Fi network name (SSID) and password
- The manufacturer’s app on your phone (HP Smart, Epson Smart Panel, Canon PIXMA/TR Print & Scan, or equivalent)
- A phone or computer on the same Wi-Fi network you want the printer on
Step 1: Download the Manufacturer App
Every major printer brand has a free setup app. This is now the standard way to connect a printer to Wi-Fi — faster and more reliable than using the printer’s control panel alone.
- HP printers: HP Smart (iOS / Android)
- Epson printers: Epson Smart Panel (iOS / Android)
- Canon printers: Canon PIXMA/TR Print & Scan (iOS / Android)
- Brother printers: Brother iPrint&Scan (iOS / Android)
Step 2: Put the Printer in Wi-Fi Setup Mode
Most wireless printers have a dedicated WPS button or a Wi-Fi setup option in the menu. The exact steps vary by model, but the general process:
- Press and hold the Wi-Fi button on the printer until the Wi-Fi light flashes (usually 3-5 seconds)
- On printers with a screen, go to Setup > Network > Wi-Fi Setup Wizard
- The printer is now in pairing mode
Step 3: Connect via the App
- Open the manufacturer app on your phone
- Select “Add Printer” or “Set Up a New Printer”
- Follow the on-screen instructions — the app will detect the printer and prompt you to select your Wi-Fi network and enter the password
- The printer connects and prints a confirmation page
Step 4: Test From Every Device
After setup, test printing from each device you plan to use:
- iPhone/iPad: Go to any app, tap Share, select Print — your printer should appear automatically if it supports AirPrint
- Android: Go to Settings > Printing and confirm the printer is listed, or use the manufacturer app to print
- Windows: Go to Settings > Bluetooth & Devices > Printers & Scanners > Add Device
- Mac: Go to System Preferences > Printers & Scanners > Add Printer
Troubleshooting Common Setup Problems
Printer not found during setup
- Make sure your phone is on 2.4GHz Wi-Fi, not 5GHz — most printers only support 2.4GHz
- Move the printer closer to the router during initial setup
- Restart the printer and try again
Printer connects but won’t stay connected
- Assign the printer a static IP address in your router’s DHCP settings (most routers have a “reserved IP” option by device MAC address)
- Disable the printer’s deep sleep mode — printers in deep sleep often drop the Wi-Fi connection
Can see printer on network but can’t print from phone
- Confirm AirPrint (iOS) or Mopria (Android) is supported by checking the printer’s spec sheet
- Make sure the phone and printer are on the same network — not one on 2.4GHz and the other on 5GHz
- Restart both the printer and your phone’s Wi-Fi
WPS Setup (Alternative Method)
If your router has a WPS button, some printers support one-touch WPS pairing:
- Press the WPS button on your router
- Within 2 minutes, press the Wi-Fi/WPS button on your printer
- The printer connects automatically without entering a password
WPS is convenient but considered less secure than app-based setup. Fine for a home network.
FAQ
Can I connect a printer to Wi-Fi without the app?
Yes, using the printer’s control panel. Navigate to Setup > Network > Wi-Fi Setup, select your network, and enter the password using the printer’s buttons or touchscreen. The app method is faster and handles driver installation automatically on Windows and Mac.
How do I print from my phone without Wi-Fi?
If your printer supports Wi-Fi Direct, you can print directly to it without a shared network. The printer broadcasts its own connection. Enable Wi-Fi Direct in the printer’s network settings and connect to it from your phone like a regular Wi-Fi network.
Can multiple devices use the same printer?
Yes. Once the printer is connected to your home Wi-Fi, every device on the same network can print to it — phones, tablets, laptops, desktops. No additional configuration needed for each device (for iOS via AirPrint, nothing is needed at all).
